Chasing that sounds like you

A key account gets warmth, a habitual late payer gets firmness. Your notes on each customer shape every draft, and nothing goes out until you say so.

  • Tone that fits each customer

Notes and payment history are used in every draft.

  • You stay in control

Autopilot is optional, per customer, and only for the friendliest stage.

  • Replies are understood

A promise to pay pauses chasing until the date. A dispute stops it.

  • Your whole chat history in one place

Reply to a customer directly from Chats.

Questions about chasing invoices on WhatsApp

More on how your data is handled is in our Privacy Policy.

What is Vowline?

Vowline is an accounts receivable automation platform that drafts and sends WhatsApp payment reminders for overdue B2B invoices. Each morning it prepares a message for every invoice that is due a reminder, written in a tone that suits that customer, and you approve it before it is sent.

Does Vowline send messages without my approval?

No. Every reminder waits for you to review and send it. You can turn on autopilot for individual customers you trust, and it only applies to the first, friendliest reminder.

Which WhatsApp number do the reminders come from?

Reminders are sent from a WhatsApp Business number set up for your company on Meta's official WhatsApp Business Platform, usually named after your business, for example "Your Company Finance Team". Your personal WhatsApp is not used.

How does Vowline decide how firm a reminder should be?

It looks at how many days the invoice is overdue, your escalation thresholds (3, 14 and 30 days by default), the customer's payment history, and the notes you have written about that customer. Reminders move from a friendly nudge, to a direct request for a payment date, to a firm final reminder, and you can cap how far each customer escalates.

What happens when a customer replies?

Vowline reads the reply and acts on it. A promise to pay pauses reminders until that date, a dispute stops reminders for that invoice, and a claim that the invoice is already paid is flagged for you to check. Every reply is saved in Chats, where you can respond directly.

Will Vowline chase customers on weekends?

No. Vowline does not send reminders on weekends or on dates you mark as quiet days, such as public holidays, and it waits at least 7 days between reminders for the same invoice by default.

Do I need Xero or other accounting software to use Vowline?

No. You can paste invoices straight from Excel, upload a CSV file, or add invoices one at a time. Vowline matches each invoice to a customer and tracks which invoices have been paid.

Is my data secure?

Your data is hosted in Singapore and each account's data is isolated at the database level, so no other account can see it. Reminders are drafted with Anthropic's Claude, which does not use your data to train its models by default, and messages are sent through Meta's official WhatsApp Business Platform.
